Security, hosting & trust

Know what you are moving your business onto. Before you commit.

JobCue is a hosted business platform. This Trust Centre explains the practical architecture, access model and storage choices we can describe today — without inventing certifications or assurance claims that have not been formally obtained.

Delivery modelHosted SaaS

No customer-maintained JobCue application server is required for normal use.

Access modelOrganisation + User permissions

Subscription entitlement and individual User permission remain separate controls.

File storage5GB included + provider choice

Use JobCue-managed storage, or your existing Microsoft 365 or Dropbox environment where configured.

Client accessDeliberate publication

Client Portal access is separately controlled rather than inheriting internal User visibility.

Access & isolation

A hosted platform still needs clear boundaries.

JobCue’s architecture separates the organisation’s subscription entitlement, each User’s permissions, privileged Platform administration and external Client Portal access.

01Authenticated personA User or authorised external Client Contact signs in.
02Organisation contextAccess is evaluated in the context of the relevant organisation.
03Entitlement + permissionThe required module and the person’s permission must allow the action.
04Specific recordOnly then should the requested client, Job, Project, file or workflow become available.
File storage architecture

Keep the workflow in JobCue. Choose where persistent files live.

Storage is an organisation-level choice. The external-provider model is designed to avoid quietly maintaining duplicate persistent payloads in JobCue when your organisation has selected its own provider.

Managed

5GB JobCue-managed included

The core subscription includes 5GB at no additional charge. Add managed capacity only when your organisation genuinely needs more.

Microsoft

Microsoft 365

Where configured, persistent files can stay in your organisation’s existing Microsoft storage environment — including SharePoint/OneDrive where supported — while JobCue retains the references and workflow metadata it needs.

Dropbox

Dropbox

Where configured, Dropbox can remain the organisation’s persistent file-storage provider, preserving your existing file ownership and avoiding duplicate JobCue storage charges.

When an external provider is selected, JobCue may retain metadata, provider IDs/references, audit state and lifecycle information required to operate the application. The design does not rely on silently storing a second persistent payload copy in JobCue-managed storage. This lets organisations keep confidence and ownership in an existing Microsoft 365 or Dropbox environment without paying JobCue for duplicate file capacity.

Operational assurance

What procurement teams can ask us for.

Hosted-service reviews often go beyond a marketing page. If your organisation has a formal procurement or security process, talk to us about the current position rather than assuming a badge or control exists.

  • Current hosting and recovery arrangements
  • Authentication and User-access approach
  • Organisation isolation and permission model
  • Microsoft 365 / OneDrive or Dropbox storage architecture
  • Data-processing and privacy questions
  • Offboarding and data-export requirements
  • Current security-assurance or testing evidence where available
Controlled automation

Convenience still respects entitlement, permissions and human judgement.

Automation-rule editing is permission controlled. Available conditions are filtered to modules enabled for the organisation, and a rule acts within the tenant and Job context. Users can manually override task completion where actual work differs from the standard workflow.

Authorised configurationRule editing is reserved for Users with the appropriate organisation permission.
Scoped choicesA tenant is not offered triggers from a module it has not enabled.
Auditable outcomeAutomatic progress remains distinguishable from a deliberate manual decision.

Hosted software, security and storage FAQs

Clear answers to the questions that most often sit between interest and approval.

Is JobCue a hosted service?

Yes. JobCue is provided as a hosted web application, so your organisation does not need to install or maintain its own JobCue application server for normal use.

What is included before I add optional modules?

User Management, Timesheets, Settings, Job Management, Project Management and Reporting & Business Intelligence form JobCue’s permanent base. Optional modules can then be enabled independently when they make sense for your organisation. The live subscription builder shows the current commercial allowances and rates.

Can we add modules later?

Yes. JobCue is designed so optional modules can be enabled independently rather than forcing every customer into the same oversized package. Commercial changes follow the subscription terms applying to your account.

Do I get a free trial?

Yes. Standard website signups start with a 7-day free trial and no subscription invoice is raised on signup day. Unless you cancel during the trial, the first invoice is generated automatically when the seven-day period ends. A valid referral or offer may provide a different free billing period.

How does JobCue subscription billing work?

After the free trial, JobCue runs on a one-month rolling contract. The first invoice is generated automatically when the trial/free billing period ends, then subsequent invoices are generated one calendar month after the previous billing date. Invoices are emailed to the active organisation OWNER account(s), with an optional Accounts email address copied in. An OWNER can securely authorise a card with Stripe; the first invoice is charged immediately when paid service starts if a card is authorised, and later monthly invoices are collected automatically 3 days after issue.

Does JobCue store my card details?

No. Card authorisation and card data are handled securely by Stripe. JobCue stores only the Stripe references and limited display details such as card brand, last four digits and expiry date. Your full card number and security code never pass through or persist in JobCue.

Can I cancel my JobCue subscription?

Yes. An organisation OWNER can cancel from Subscription & Billing inside JobCue. Cancel during the free trial and no first subscription invoice is raised. After billing has started, cancellation takes effect at the next monthly renewal date, so you keep access for the period already billed and no further renewal invoice is generated.

How much file storage is included with JobCue?

The core JobCue package includes 5GB of JobCue-managed storage at no additional charge. If you need more managed capacity, additional storage can be added separately.

Can we keep using our existing Microsoft 365, SharePoint/OneDrive or Dropbox storage?

Yes, where that provider is configured for your organisation. JobCue can use your existing Microsoft 365 storage — including SharePoint/OneDrive environments where supported — or Dropbox as the persistent file home. This means your organisation can keep file ownership and confidence in the storage environment it already controls instead of paying JobCue for duplicate managed capacity.

Does JobCue keep a second copy when we use Microsoft 365 or Dropbox?

The external-storage model is designed so persistent file payloads live in the selected provider. JobCue keeps the metadata, references and workflow/audit information it needs to operate, rather than silently maintaining a second persistent payload copy in JobCue storage.

How is access to our organisation controlled?

JobCue separates organisation entitlement from individual User permissions. Access is authenticated and scoped to the organisation and the permissions granted to that User; client-facing access is separately controlled through Client Portal relationships and publication choices.

Can you help us move from another system or spreadsheets?

Yes. The sensible approach is a staged migration: agree what should move, clean the source data, configure JobCue, import or recreate the agreed records, validate active work and then move the team across. The exact import method depends on the system and quality of the source data.

What happens when JobCue is updated?

Because JobCue is hosted centrally, application updates can be deployed without each customer maintaining a separate software installation. Material workflow changes should still be communicated and tested appropriately.

Is the optional Support module the same thing as JobCue customer support?

No. The optional Support module is functionality your organisation can use to manage support tickets for its own customers. It is separate from assistance with your JobCue hosted account.

What security certifications does JobCue hold?

JobCue does not make certification claims that have not been formally obtained. If your procurement process requires a particular certification, assurance document, security schedule or technical review, contact us for the current position before relying on a specific standard.
